PA to the Police and Crime Commissioner

To provide a professional PA and secretarial service to the Police and Crime Commissioner (PCC).

Job purpose

To provide a professional PA and secretarial service to the Police and Crime Commissioner (PCC) delivering a professional level of service including complex diary management and highly efficient and organised service for senior level meetings both internally and externally with members of the public.

Main responsibilities

  • Manage the PCC’s working day keeping up to date with matters relating to the Police & Crime Plan to ensure correct prioritisation of appointments, emails and calls as appropriate. Liaise on a daily basis regarding diary commitments and scheduled meetings/visits/matters between the Office of the Police and Crime Commissioner and the Constabulary.
  • To screen all telephone calls for the PCC and deal appropriately, progressing to a satisfactory conclusion by liaising with members of the Office of the Police & Crime Commissioner (OPCC) and the Constabulary. Ensure all calls are dealt with in an effective and efficient manner and that only relevant calls are filtered through to the PCC.
  • Manage correspondence, making appropriate decisions around where and to whom matters are tasked, ensuring that actions are progressed, recorded, tracked and appropriate responses received, on behalf of the PCC.
  • Develop links with other OPCC’s, government organisations, other forces and the private sector to foster good working relationships and maximise partnership working.
  • Liaise with senior members of staff within the Prime Minister’s Office, Cabinet Office, Home Office and High Sheriff and senior dignitaries to pursue and make decisions on behalf of the PCC with regard to his/her personal involvement in a variety of high profile events/meetings/forums.
  • Ensure that all travel; accommodation and meeting arrangements are made for the PCC ensuring optimum use of time and finance.
  • As necessary, attend meetings/visits with the PCC to make notes/take minutes of any issues/actions regarding further research and/or analysis progressing any actions to a satisfactory conclusion. Ensure the PCC is adequately briefed in advance of such meetings/visits.
  • Organise executive functions hosted by the PCC, ensuring effective co-ordination of venue, catering arrangements, invitations/responses, transport etc.
  • Undertake regular briefings with the PCC to keep him/her updated on key issues both internally and externally, locally and nationally.
  • Notwithstanding the details in this job description, the job holder may be required to undertake other duties up to a level consistent with the principal responsibilities of the job.
  • Due to the necessity to handle sensitive material the post holder will be required to undertake an enhanced vetting requirement.
